The challenge

A physiotherapy clinic with eight employees and two contractor therapists was managing payroll in-house with a part-time administrator who had no formal payroll training. Errors were frequent, a payroll tax filing had been missed the previous year resulting in a penalty, and the owner spent significant time each pay period dealing with payroll issues instead of running the clinic.

On top of the payroll problems, their bookkeeping was inconsistent and their tax preparation was always rushed and stressful.

What we did

Vooks took over complete payroll management for all employees and contractors, establishing a reliable fortnightly payroll schedule with accurate tax calculations and timely filings. We resolved the outstanding compliance issue from the previous year and put processes in place to ensure no filing deadline would ever be missed again.

We also took over monthly bookkeeping and annual tax preparation, giving the owner a single financial partner handling every aspect of the clinic's finances.

The outcome

Payroll errors dropped to zero immediately. The owner reclaimed the time she had been spending on financial administration and redirected it entirely to patient care and clinic operations. Their tax preparation the following year was completed two weeks ahead of schedule with no stress and no rushing. The clinic has since added two more therapists and the owner describes the financial side of the business as something she no longer thinks about.
